Meeting & Events Coordinator
Responsibilities
- Assist in the preparation and distribution of department printed and digital materials.
- Maintain department team supplies/kit/signage inventory by evaluating inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Ensure quality of department team supplies/kit/signage by completing preventive maintenance requirements, coordinating repairs, maintaining calendars/inventories, evaluating new equipment and techniques.
- Manage department master documents.
- Generate reports. Process department’s invoices.
- Record expenses and maintain budgets for areas of responsibility.
- Manage, coordinate, and complete requirements for tradeshows including booth coordination/shipment, materials/giveaways, signage, etc.
- Work closely with business owners to determine requirements for each tradeshow and provide comprehensive communication to owners and traveling teams regarding arrangements.
- Coordinate shipping/receiving materials and monitoring department related inventory and storage.
- Handle sensitive information in a confidential manner.
Qualifications
- Bachelor’s degree in a relevant field or equivalent work experience
- PC proficiency, including email, routine database activity, spreadsheets, etc.
- Strong interpersonal skills and the ability to work with diverse personalities in a tactful and flexible manner
- Good reasoning skills and sound judgement
- Ability to handle multiple projects and meet deadlines
Working Conditions

- Ability to lift and/or carry 25-30lbs of exhibit/audio/video equipment and other meeting materials
- Occasional Travel <10%
Compensation
- The Salary for this position generally ranges between $45,000 - $55,000 annually. Please note that the salary range is a good faith estimate for this position and actual starting pay is determined by several factors including qualifications, experience, geography, work location designation (in-office, hybrid, remote) and operational needs. Salary may vary above and below the stated amounts, as permitted by applicable law.
- Additionally, this position is typically eligible for an Annual Bonus based on the Company Bonus Plan/Individual Performance and is at the Company’s discretion.

This is a hybrid position requiring three days in office per week in our Cedar Rapids hub location. Relocation assistance will not be provided for this position.
